EVENT POLICIES
We’re thrilled to welcome you to Assembly Required in Philadelphia!
To ensure a safe, comfortable, and inclusive event for all, the following policies must be followed by every attendee, exhibitor, and guest. These rules are in place to protect the experience and uphold safety standards. By attending, you agree to abide by all *Assembly Required policies, as well as applicable Philadelphia city and Pennsylvania state laws. Violation of any policy may result in removal from the event without refund.
🪪 Badges
All attendees must wear their official *Assembly Required badge at all times while inside the venue. Badges must be visible and are non-transferable. Lost badges may be replaced at the discretion of event staff for a fee. All sales are final - no refunds will be offered.
🔒 Badge Privacy Notice
Information collected through badges is used solely for *Assembly Required event operations, communication, and safety. Personal data will not be sold or shared with third parties without explicit consent.
👥 Code of Conduct – All Ages Event
*Assembly Required is an inclusive, all-ages event. Harassment, discrimination, offensive language, disruptive behavior, or inappropriate costumes will not be tolerated. Attendees are expected to treat one another with respect. Anyone violating this code may be removed without refund. Minors must be accompanied by an adult.
🧪 Costume & Props Policy
Cosplay is encouraged, but all costume props must be safe, non-functional, and peace-bonded if necessary. Real or replica firearms, bladed weapons, or projectiles are prohibited. Staff reserves the right to inspect or reject any prop at any time.
Costumes must comply with local public decency laws and provide sufficient coverage. We explicitly prohibit nudity or excessively revealing costumes. Body paint or makeup may not be acceptable as complete coverage, and attendees might be required to wear actual clothing beneath body suits. This events is designed for all ages, so costumes should be appropriate for a family-friendly setting.
🚫 Airspace (Balloons, Drones, etc.)
No drones, remote-controlled devices, flying toys, or helium balloons are allowed in any *Assembly Required event area, including exhibit halls and panel rooms. Airspace must remain clear to ensure safety.
♿ Accessibility
*Assembly Required is committed to providing an inclusive and welcoming environment for all attendees. We strive to accommodate individuals with disabilities to the best of our ability, including mobility, hearing, and visual needs.
Please be aware that while we make every effort to provide access, the venue—the historic Armory in Philadelphia—may present certain limitations beyond our control. We encourage attendees to reach out in advance with any specific accessibility requests so we can plan accordingly and assist wherever possible.
🐶 No Pets Allowed
Only trained service animals as defined under the Americans with Disabilities Act (ADA) are permitted. Emotional support animals, pets, and therapy animals are not allowed. If you have questions or need assistance during the event, please visit the Info Booth or speak with any *Assembly Required staff member.
🦠 COVID-19 Health & Safety
*Assembly Required complies with all public health mandates in Philadelphia and Pennsylvania. Do not attend if you are experiencing COVID-19 symptoms or have tested positive. Masks and other requirements may be enforced based on current guidance. Sanitization stations will be available throughout the venue.
📄 No Handouts
Unauthorized distribution of flyers, stickers, business cards, or promotional items is prohibited. Only approved exhibitors and partners may distribute materials. Violators may be asked to leave the event.
🛴 No Bicycles, Scooters, Segways, or Hoverboards
Personal transportation devices are not permitted inside the venue, with the exception of medical mobility aids. This policy helps maintain safety and clear pathways for all attendees.
🧳 No Handcarts, Trolleys, Rolling Luggage, or Oversized Strollers in the Exhibit Hall
To ensure safe and efficient movement through the exhibit hall, large wheeled items are not allowed during public hours. This includes handcarts, rolling luggage, wagons, and oversized strollers. Compact strollers may be permitted at staff discretion.
📱 No Live Streaming of Programs or Events
The usage of live streaming apps and software on any electronic device (smartphones, tablets, laptops, etc.) is not allowed in any official *Assembly Required program and event rooms, both on-site at the Armory and in other related venues, without prior permission.
📝 No Market Research
Surveys, interviews, or data collection are not permitted unless previously authorized by *Assembly Required organizers. Unauthorized research activities will result in removal from the venue.
🔊 No Paging
Public paging is not available. Please coordinate with your group in advance and ensure mobile devices are charged and accessible throughout the event.
🛍️ No Retail Sales Unless Exhibit Space Has Been Purchased
Sales of any kind—including toys, art, merchandise, or collectibles—are prohibited unless the seller is an approved exhibitor with a designated booth. Unauthorized selling will result in removal and potential ban from future events.
🏃 No Running
Running or horseplay is not allowed inside any event area. Please walk at all times to ensure the safety of all guests.
🤳 No Selfie Sticks or Similar Devices
Selfie sticks, monopods, and camera extension devices are not permitted inside exhibit halls, panel rooms, or crowded areas due to safety concerns.
🪑 No Sitting in Exhibit Hall Aisles
For safety and crowd control, sitting or standing in the aisles of the exhibit hall is not permitted. Please use designated seating areas provided.
🚭 No Smoking, Including E-cigarettes and Vaping
Smoking—including e-cigarettes and vaping—is prohibited inside the venue and within 50 feet of any entrance or exit, in accordance with Philadelphia city ordinances and venue policy.
👶 No Strollers Allowed in the Programming Rooms
Strollers are not allowed inside programming rooms due to limited space and safety concerns. Please use stroller parking outside panel rooms where available.
🎥 No Video or Audio Recording of Panels for Public Display
Recording panels or official programs for public use or online distribution is not allowed without permission. Brief personal clips (under 30 seconds) may be posted to social media, provided they do not disrupt the event or violate speaker consent.
🚫 Prohibited Items
The following items are strictly prohibited:

Alcohol (except as served by licensed vendors at designated areas)

Laser pointers, aerosol sprays, or open flames

Oversized props that block walkways or present a hazard
Security staff may inspect bags or items and confiscate prohibited items. Noncompliance may result in expulsion without refund.
🎥 Wearable Cameras / Video Devices / Camera Phones
Wearable cameras and mobile devices may be used for personal documentation. However, filming others without consent, continuous recording, or livestreaming is not permitted. Please respect the privacy of fellow attendees and exhibitors.
📸 Photography & Video Consent
By attending *Assembly Required, you acknowledge and agree that you may be photographed, filmed, or recorded by event organizers or accredited media. These images and recordings may be used for promotional, archival, or marketing purposes in print, online, and across social media.
Attendance at the event constitutes your consent to appear in such materials without compensation or further approval. If you prefer not to be photographed, please notify the camera operator or event staff.

By attending *Assembly Required, you agree to follow all policies outlined above. Event staff and venue security reserve the right to enforce rules and remove anyone whose behavior endangers the safety, experience, or comfort of others.
